Uniconta

How do I pay suppliers directly from Uniconta?

The short answer

With the BankConnector add-on for Uniconta you make the payment journal in Uniconta, approve it with a code from an app on your phone and send it straight to your bank. You never open online banking: BankConnector sends the payments to the bank in the background, and the bank's answer comes back on every line of the journal.

A payment run, step by step

  1. 1

    Fetch the open invoices

Open a payment journal under BankConnector in Uniconta and fetch the invoices that are due. You get one line per supplier, currency and due date, and a cash discount is taken where it still applies.

  2. 2

    Check the lines

Each line shows the account the money leaves and the supplier's account it goes to, as it is on the supplier card. If a supplier's account has changed since you last paid them, the line is flagged so somebody looks before the money goes.

  3. 3

    Validate and send

Validating checks every line against the add-on's own rules and the bank's before anything is sent. If one line has an error, nothing is sent, and the line says what to fix.

  4. 4

    Approve

Approvers approve the payments in Uniconta with a code from an authenticator app on their phone, once your administrator has switched approving in Uniconta on. Until then they approve in the BankConnector web app.

  5. 5

    Follow every line

The status comes back on each line: sent to the bank, accepted by the bank, completed. If the bank rejects a payment, the bank's reason is on the line, in plain words.

  6. 6

    Post with the bank statement

A payment is posted when it is on the bank statement, so what you post is what the bank actually paid.

What you no longer do

  • Log in to online banking to pay suppliers
  • Export a payment file from Uniconta and upload it to the bank
  • Download bank statements and import them

Statements come into Uniconta by themselves too: see how bank statements get into Uniconta automatically.

Which payments you can send

Transfers to Danish accounts, FIK payments, SEPA payments in euro and payments abroad, depending on what your bank offers. You can also pay something with no invoice, such as tax or a deposit. Each bank's page says which payment types it has: Danske Bank, Nordea, Jyske Bank, Sydbank and Nykredit.

BankConnector for Uniconta pays suppliers and brings in bank statements. Collecting from customers, such as Betalingsservice or SEPA direct debit, is not part of it.

Who can see and move the money

The money never passes through BankConnector: the payments leave your own account, under your own agreement with the bank. Uniconta holds no bank credentials, and every approval takes a fresh code. More on the security page.

More questions

Does it work in my Uniconta?

Yes, in the Uniconta program for Windows. That is where BankConnector sits, right in Uniconta's menu.

Can we pay from more than one bank?

Yes. Each payment journal belongs to one bank, so you make a journal per bank. The price is the same however many banks you connect.

What if the connection drops while a journal is being sent?

The lines wait for the bank's answer. Validate the journal again: the same payments are sent again in a way the bank recognises, so nothing is paid twice.
